Company-wide AI Act training for over 750 employees

Executive summary

Challenge: The EU AI Act mandates comprehensive AI Literacy training for all employees who either create or use AI systems. We decided to optimise the process to ensure full compliance with the requirements fast and smoothly across the whole company.

Approach: We developed and deployed a universal, self-paced e-learning course covering the AI Act's requirements, associated risks, and internal policies.

Result: Successfully trained over 750 employees in less than two weeks, establishing a scalable and auditable process for ongoing, responsible AI education. Our solution proved efficient and is easily adaptable to our clients’ environments and organisational needs.

Business challenge

The introduction of the AI Act created a new, mandatory obligation for businesses across the European Union. One of its core provisions requires that companies train their employees to understand the legal framework, recognise the risks associated with AI, and use these technologies safely and responsibly.

As an organisation that leverages AI tools to enhance internal productivity and builds sophisticated AI-powered systems for clients, this requirement was a top priority. We needed to move quickly to educate our entire workforce of over 750 people.

The challenge was to create a training programme that was not only comprehensive and compliant, but also efficient and scalable. A traditional, instructor-led approach would be too slow and disruptive for an organisation of our size. We needed a solution that could be rolled out quickly, completed flexibly by employees, and provide a clear, auditable record of completion to demonstrate our compliance.

We had two goals: to fulfil our legal duty and to solidify our position as a leader in responsible AI development.

Building a culture of responsible AI

Our internal, specialised AI Practice team took the initiative to transform this legal mandate into a practical educational asset. The project was driven by a deep understanding of the AI Act Literacy requirements and a clear vision for creating a company-wide culture of AI awareness.

The solution was a custom-designed e-learning course, delivered through the Moodle learning management system. This platform was chosen specifically for its ability to host self-paced modules and, crucially, to track progress and automatically generate completion certificates. This provides an indisputable audit trail, ready for any future compliance checks.

The course content was carefully structured to be universally accessible, providing essential knowledge for every employee, from software developers to marketing and administrative staff. The curriculum was divided into three core modules:

  • General principles of AI safety and security.
  • The EU AI Act explained, with a focus on distinguishing between different risk levels, particularly high-risk AI systems.
  • Future Processing’s internal AI policy, detailing how we approach the use and development of AI tools and systems.

To ensure consistency and scalability, the training utilises a professional, AI-generated voice-over. The course concludes with a test to verify understanding, with a certificate awarded upon successful completion.

By transforming a compliance requirement into a reusable digital asset, we have not only educated our team but also created a solution that can be adapted to our clients’ environments, helping them navigate their own AI Act readiness journey.
